Pre-event checklist

Audience: Event organisers making sure everything is ready before event day.

A single-page, printable checklist of everything that should be done in the days before a competition. Each item links to the relevant detailed page.

What this page will cover

The checklist will be grouped by timeframe:

Weeks before

  • [ ] Create the event in Manager
  • [ ] Import competitor entries (IOF XML / Eventor)
  • [ ] Import or define courses and controls (Purple Pen / manual)
  • [ ] Assign courses to classes
  • [ ] Mark radio controls for each class
  • [ ] Check that competitor SI card numbers are assigned
  • [ ] Set up the competitor archive / refresh from Eventor

Days before

  • [ ] Allocate start times
  • [ ] Configure spectator screens
  • [ ] Set up and test the meshO Prime connection
  • [ ] Prepare hire cards (if lending SI cards)
  • [ ] Confirm the network setup at the venue (Wi-Fi / ethernet)
  • [ ] Walk through the first-event walkthrough if it's your first time

Morning of the event

  • [ ] Power on the server PC and confirm Manager is running
  • [ ] Confirm volunteer laptops / tablets can connect via browser
  • [ ] Confirm meshO Prime is connected and radios are reporting
  • [ ] Confirm SI reader is detected for card download
  • [ ] Check the dashboard — all cards should be green / healthy
  • [ ] Print the start list (if using printed lists)
